Event  Coordinator at the Sports Complex 4810 E.  County Line Rd.

(Full Time, Exempt)

$45,510 - $55,638 per year

 

Position Summary:

Under the supervision of the Facility Manager, this position is responsible for maximizing revenue for the  Sports Complex by selling special events in conjunction with group sales, food and beverage, banquets, private room rentals, birthday parties, tournaments, as well as administrative operations including marketing and promotions, as well as serving as back up to the Athletic Registration Supervisor and Customer Service Representative staff.

Essential Duties:

  • Proactively prospects for new business through leads, existing client base, and industry involvement.
  • Schedules and participates in property tours with clients. Follow up meetings and tours with clients to ensure goals are achieved for both parties.
  • Closes new sales and events with interested clients during or after tours at South Suburban Sports Complex.
  • Finalizes all details for special events and creates floor plans for the operations team and day of execution teams.
  • Point of contact for birthday party bookings. Communicate with all aspects of birthday party bookings from supplies, food orders and reserving facility space(s).
  • Serves as the liaison between the birthday party clients and Sports Complex Restaurant.
  • Hire, train, schedule and directly supervise Party Host staff.
  • Finalizes all details for birthday parties and creates plans for the operations team and day of execution teams.
  • Ensures that spaces are clean and presentable prior to events and parties.  Reports any maintenance problems to the Facility Manager.
  • Coordinates and assists staff with set up and tear down of event spaces.
  • Handles all final billing, closes accounts post-event, and sets up routine follow-up to increase return business.
  • Sends and receives feedback from clients post-event via surveys and other methods as appropriate.
  • Creates and manages customer appreciation, retention and customer satisfaction material.
  • Addresses complaints and solves problems as needed.
  • Oversees the facility invoicing for special events.
  • May participate in various certification training, industry trend conferences, and webinars.
  • Keeps the District abreast of latest information available for maximizing the Department’s success.
  • Provides assistance with daily administrative operations including but not limited to serving as back up to the Athletic Registration Supervisor and providing clerical and administrative support to management with weekly reports, monthly reports and the budget process.
  • Responsible for accurate records and invoicing and purchasing. Maintains excellent working relationships with external vendors and maintenance service providers.
  • Participates in staff meetings and various other District committee meetings as assigned.
  • Is available after regular working hours to answer questions from Staff and clients as needed in order to provide excellent follow up, build trust, and rapport with staff and clients.
  • Attend and participate in staff meetings, trainings and orientations.
  • Assists facility management and custodial staff with facility maintenance tasks.
  • Attend work on a regular, reliable and punctual basis.
  • Other duties as assigned by the Facility Manager.

Education and/or Experience:

  • A Bachelor’s Degree in Hospitality, Marketing, Public Relations or related field. Equivalent experience may be considered.
  • Minimum three (3) years of previous experience in Event Planning, Marketing or Public Relations.
  • Experience with social media and Ice Scheduling is strongly preferred.
  • A combination of experience and education may be considered.

Licenses, Certifications, and Other Requirements:

  • Must possess a valid Colorado Driver License or the ability to obtain upon hire and maintain an acceptable driving record

  • Successful in building professional relationships and collaborating with others.
  • Must be highly motivated, sales oriented with excellent interpersonal skills.
  • Must be able to assist clients with the planning of their events and execute their vision.
    • Must be highly motivated and take direction well with excellent interpersonal and communication skills, both written and verbally.
    • Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness.
    • Ability to provide outstanding customer service and get along with coworkers, patrons, and supervisors and interact with employees and vendors in a professional manner.

Material and Equipment Used :

To successfully perform the required job duties, this position regularly uses a phone, computer, printer, fax and other common office equipment. This position may use personal motor vehicle to drive to various District facilities and industry events.

Physical Requirements :

Stand, walk, handle and operate office equipment, reach outward and above shoulder and carry, pull, push or lift up to 25 lbs. May occasionally climb, crawl, squat, kneel and lift up to 40 lbs. and carry, pull, push or lift 50 lbs. or more with or without assistance. The employee must be able to see close up and at a distance with vision acuity and the ability to adjust focus allowing a broad field of vision. The employee must communicate clearly and effectively, must understand and be understood.
