Athletics Registration Supervisor - South Suburban Sports Complex

(Full Time, Exempt)

Salary: $48,805 - $57,279 per year

Position Summary:

Under the supervision of the Recreation Complex Facility Manager, this position is responsible for serving in a "hands-on" capacity to oversee the day-to-day operations of the front desk responsibilities of the Recreation Complex, including hiring, training and scheduling part time staff to insure all shifts are covered during the operational hours of the Recreation Complex. The primary purpose is to provide excellent customer service, support the essential duties of the main Registration Office at Goodson with focus on athletic programming, greet customers, answer phones, direct calls, assist customer with facility/class/league registration, prepare cash and revenue reports for the recreation complex and assist the Administration offices with phone calls and in-person visits.

Essential Duties:

  • Hire, train, schedule, supervise and evaluate assigned staff; provide or coordinate staff training, and work with employees to correct deficiencies.
  • Determines staffing needs and creates schedules. Reviews and approves employee bi-weekly timesheets. Works directly with Payroll Department to resolve any pay issues.
  • Provide superior customer service, following the X360 program, to all patrons, residents, nonresidents, employees, participants and visitors.
  • Greet all patrons, answer questions, direct to offices when needed, handle incoming/outgoing packages, answer phones, and direct calls throughout the district.
  • Assist the Recreation Complex Athletic Coordinator, Athletic Division Coordinators and Sports Dome Division with daily duties including communication with parents and coaches, equipment/jersey check out and in-person, phone-in and online registration processes.
  • Handles refund, registration transfer requests, recreation money and scholarships for all athletic programming.
  • Responsible for the check-in/check-out system of the District tents.
  • Assist with the day-to-day operations of the Complex.
  • Prepares and monitors the Office annual budget and manages revenues and expenditures and prepares financial reports. Prepare, enforce, maintain and modify policies and procedures manuals; conduct periodic staff meetings to provide and gather information, answer questions and respond to complaints and concerns, both internally and externally.
  • Maintains inventory and sells pro shop items.
  • Ensures that all reports are completed accurately and submitted on time, which may include, but not limit to, cash receipts, credit card transactions, online transaction reports, file merging, facility attendance reports, weekly program reports and accident reports.
  • Occasional evening and weekend hours may be required, especially during peak facility times and to ensure that all shifts are covered.
  • Monitors application of POS and Teamsideline system for registration purposes. Evaluates and provides feedback for any enhancements to the process. Monitors external scheduling and registration sites and provides data and feedback.
  • Maintains culture of providing excellent customer service and ensures consistency across all facilities and programs. Responds to and resolves simple and complex citizen inquires and complaints.
  • Performs first aid, CPR and AED as required and verifies appropriate part-time staff are certified and in good standing.
  • Attend and participate in staff meetings, trainings and, orientations.
  • Attend work on a regular, reliable and punctual basis.

Education and/or Experience:

  • Must be at least eighteen (18) years of age with a high school diploma or equivalent. A Bachelor Degree in Communications, Marketing, Parks and Recreation Management or related field is strongly desired.
  • Minimum of one (1) year of related customer service or registrations experience is required. Must have excellent customer service and communication skills, both written and verbal. Previous supervisory experience strongly preferred. Experience with a point of sale software is also preferred.
  • A combination of experience and education may be considered.

Licenses, Certifications, and Other Requirements:

  • CPR, First Aid and AED certificates, or the ability to obtain upon hire.
  • Must possess a valid Colorado Driver License or the ability to obtain upon hire and maintain an acceptable driving record.

Necessary Knowledge, Skills and Abilities:

  • Proficient with MS Office Suite
  • Must be able to evaluate staff performance
  • Must have strong data skills and excellent accuracy and attention to detail.
  • Must work well in a fast-paced team environment where good judgment is needed.
  • Must have the ability to evaluate staff and make improvements or take corrective action.
  • Ability to plan, execute and complete a variety of projects.
  • Must be highly motivated and take direction well with excellent interpersonal and communication skills, both written and verbally.
  • Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness.
  • Ability to provide outstanding customer service and get along with coworkers, patrons, and supervisors and interact with employees and vendors in a professional manner.

Material and Equipment Used :

To successfully perform the required job duties, this position regularly uses a phone, computer, printer, fax and other office equipment. This position also regularly operates a Zamboni, hand held two way radio and a motor vehicle to drive to various District locations.

Working Environment :

This position primarily works in a busy office environment located in a loud Family Entertainment Center and office environment subject to continuous interruptions and background noises. The employee is exposed to wet, cold and slippery conditions. Will be working in a cool environment; the temperature at the ice rink(s) will vary from 40-55 degrees Fahrenheit. Occasionally works outside subject to variable weather

Physical Requirements :

Stand, walk, handle and operate objects and office equipment, reach outward and above shoulder and carry, pull, push or lift up to 25 lbs. May occasionally ice skate, climb, crawl, kneel and lift up to 50 lbs. The employee must be able to see close up and at a distance with vision acuity and the ability to adjust focus allowing a broad field of vision. The employee must communicate clearly and effectively, must understand and be understood.
