Event Staff Assistant

(Part Time, Non-Exempt)

$16 to $18 per hour

Position Summary:

Under the direct supervision of the assigned Supervisor, this position is responsible for a variety of duties, which will vary depending on assigned department. Typical duties may include and are not limited to setting up, and turning over rooms for events; including moving furniture, chairs and tables according to the event floor plan. Keeps attentive to guests during events. Responsible for keeping the room, equipment and all storage areas clean, organized, and keeping all equipment clean and in working order. Clears and resets room after guests leave. May drive a personal and/or District vehicle to travel to different locations throughout the District.

Essential Duties:

  • Greet all guest and ensure that everyone feels welcome, friendly and courteous service at all times.
  • Keep room, equipment and all storage areas clean and organized; keep all equipment clean and in working order; keep all hallways clear of tables and equipment.
  • Available to fill in as needed to ensure the smooth and efficient event as directed by supervisor. Assist service staff as necessary including, bussing, cleaning and expo.
  • Inspects assigned restrooms regularly and clean/restock as needed.
  • Set up and/or take down rooms including set up tables, chairs, and furniture according to the floor plan; set up audiovisual equipment, etc.
  • Recognize emergency and dangerous situations by reacting quickly and calmly; administer first aid as needed. Completes Accident/Incident report.
  • Respond to public inquiries in a courteous manner; provide information within the area of assignment; resolve complaints in an efficient and timely manner.
  • Correct or inform supervisor of any facility hazards; communicate issues/complaints to supervisor as needed.
  • Attend and participate in staff meetings, trainings, and orientations.
  • Travel to offsite special events to instruct and lead art and enrichment classes.
  • Attend work on a regular, reliable and punctual basis; subs for co-workers when available; is responsible for securing substitutes for shifts unable to work.

Education and/or Experience:

  • Must be at least sixteen (16) years of age or older.
  • High school diploma or equivalent preferred.
  • Previous experience setting up events and/or in customer service preferred.

Licenses, Certifications, and Other Requirements:

  • Must possess and maintain a valid Driver’s License. Must be insurable by the District carrier at the onset and for the duration of employment.

Necessary Knowledge, Skills and Abilities:

  • Knowledge of modern office procedures, methods and general office equipment (computer, copier, fax, phone, etc.).
  • Proficiency with applicable computer software applications (Word, Excel, Outlook).
  • Must have the ability to communicate effectively verbally; establish and maintain working relationships with employees and the public.
  • Provide superior customer service and resolve customer complaints and escalated problems.

Material and Equipment Used :

This position regularly uses office equipment and supplies such as a computer, telephone, printer and fax machine.

Working Environment :

Primarily works in a busy event environment subject to varying temperatures (particularly dependent on location), continuous interruptions, varied work hours and background noises. Will be working in an environment where temperatures can rise or fall quickly. Occasionally works out of doors, subject to variable weather conditions, ecosystems and landscape.

Physical Requirements :

Must be able to frequently bend, walk, kneel, stoop, reach and lift in performance of duties. Will be required to assist in lifting and moving tables, chairs, and cabinets, etc. to maximum of 75 pounds with assistance and frequent unassisted lifting to a maximum of 30 pounds. Vision requirements include near acuity, far acuity, and depth perception and color vision. Requires sense of smell and touch. Must exhibit manual dexterity to manipulate keyboards, calculators, and telephone systems. Must have the ability to communicate effectively verbally; establish and maintain working relationships with employees and the public. The ability to talk and hear via the telephone and through face-to-face communication is needed.
